Memberships Overview

Available Memberships
In your DaySmart Software cloud program, you can now create Memberships to be sold to clients.

  1. Login to your DaySmart Software.

  2. Select the More tab.

  3. Select Memberships.

  4. Available Memberships will be the first screen you are directed to.

  5. Here you can see all the Available Memberships and you can also create Memberships.

  6. To create a Membership, select the Plus Sign in the bottom right hand corner of the screen.

  7. Here you will be asked to enter information such as, Membership Name, Price, Billing Frequency, Any Discounts, and what Services will be linked to this Membership.

  8. Once you have entered all this information, select Save. This Membership will now be added to your list of Available Memberships.

To edit or delete existing Memberships, click on an existing Membership listed in the Available Membership section. This will then take you to a screen where you can change information of that membership or you can select delete in the bottom right hand corner if you wish to get rid of it.
If you wish to just mark a membership as inactive, you can select the box “this memberships is inactive and no longer sold”. This will mark it as inactive instead of deleting all the data entry.


Sold Memberships

  1. Login to your DaySmart Software.

  2. Select the More tab.

  3. Select Memberships.

  4. The second tab on the right of your screen will be Sold Memberships.

  5. Here you will be able to see all Memberships sold to clients and important information about them.

  6. Click on the membership you wish to see more information on and it will take you to an Overview screen. Here you will see information regarding that membership, such as, clients information, card being used, and their membership details.

At the bottom of this page you will see three options, Save, Pause Membership, End Membership


End Membership: If you select this option a screen will then load asking if you wish to end with or without a refund. If you select without it will cancel the membership. If you select with a refund, you will be taken to a standard checkout screen with a refund amount. You would checkout as normal and the card would be refunded.

Pause Membership: If you select this option you will see a, Pause the Membership? Screen. Here you can select if you wish to pause the membership indefinitely, if this option is selected you will have to manually start the membership back up. The other option you have is pausing the membership for X amount of billing cycles. Once a membership is paused you can manually remove the pause before the original restart time. Go back into the Sold Membership section and select the paused membership. At the top of the membership you will see an “Activate Now” button. You can select this and it will ask when you wish to start the membership. This will override the pause.

Renew Membership: Memberships that are soon to expire will show a pop-up message when you select that specific membership. It will have a warning message at the top saying “this membership is ending soon”. There will be a Renew button next to this that you can click. If you click Renew, it will take you to a checkout screen where you can sell the same membership to the client, the membership will be set to start after the existing one ends.

Suspended Memberships: When selecting an existing membership, if the payment has failed for any reason, you will see a pop-up message at the top of the membership saying “the last payment failed to process”. Here you can select View and see why.


Billing and Usage

  1. Login to your DaySmart Software.

  2. Select the More tab.

  3. Select Memberships.

  4. The second tab on the right of your screen with be Sold Memberships.

  5. Select an Existing Membership.

  6. Here you will see the Overview tab and the Billing & Usage tab. Select Billing & Usage.

  7. The next screen will show four options.

Billing History - The user can see billing history for the selected membership and the status of each transaction. If the transaction is paid, when the user put the mouse over it, you will see two buttons: "View" and "Refund". Clicking the "View" button will show the user a closed ticket for that transaction in a new tab. Clicking the "Refund" button will get the user to the checkout page, where you can refund the last membership payment.

Future Payments - shows the list of the incoming payments for the selected membership and the status for each of them.

Service usage - Shows when and which services from the membership the client has used. Clicking the view button on the right side of the table row would take the user to a closed ticket on which the selected service has been used

Discounts received - Here the user can check which discounts were used for which services and products and what is the discount percentage. Again, by clicking the view button the user would be taken to the specific closed ticket with that discount.

Selling and Redeeming Memberships

  1. Login to your DaySmart Software.

  2. Select the Checkout Icon. This will be the shopping cart next to the Appointment Book.

  3. Select the client.

  4. In the search bar on the ticket, search for the Membership you wish to sell.

  5. A box will pop-up asking the start date, card you wish to use, and how long you wish to bill them for. Once you have selected these options, click Add.

  6. Continue with the checkout and close the ticket as you normally would, the Membership will start when the ticket is closed.

If you wish to use a service from the Membership on the same day, you can create another ticket after the Membership is sold, and there will be a Redeem Membership button below the search bar.

Redeeming Memberships

  1. The client needs to have an active Membership for this option to show.

  2. You can either create and appointment on the Appointment Book or select Checkout.

  3. Select the client and when you see the search bar for services/products, below that you will see a Redeem Membership button. Press this button.

  4. You will see a list of the available services via Memberships and how many are remaining. Select whichever one you wish to redeem. This will add that item to the ticket and you will see (Membership) next to the services name.
