Client / Pet Notes & Balance

📝 Overview

Track and manage important client information using notes and account balances. You can record service history, apply account credits, track amounts due, and personalize the client experience from the client profile or during checkout.


🗒️ Client Notes

Create, view, and edit notes that help your team personalize services and remember key details.

  1. Click the Clients icon at the top of the page.

  2. Search for the client you wish to edit and click on their name.

  3. Click the Notes tab at the top right.

  4. Enter, view, or edit notes.

  5. If you wish to have the note pop up when creating an appointment, check the box Show note as Pop-up.

    • If you have selected to have a note pop-up, it will pop-up when adding this client to an appointment from the appointment book.


📆 View Notes from an Appointment

Open notes directly from an existing appointment to confirm details while booking or updating.

  1. Open an existing appointment on the appointment book.

  2. Click Appt Details.

  3. Click Notes under the client's email line.

  4. Enter, view, or edit notes.

📱 Mobile App

  1. From the mobile app, tap Clients.

  2. Select a client from the list.

  3. Open the Client Notes tab.

  4. Add a new note or select the three dots on an existing note to Edit or Delete.

  5. Check Show note as Pop-up if you want the note to appear during scheduling.

  6. Click Save.

    • When the client is selected in the Appointment Book, the note appears automatically.

  7. You can also toggle over to Appointments to view recent appointment notes


📆 View Notes from an Appointment

Open notes directly from an existing appointment to confirm details while booking or updating.

  1. Open the client’s appointment and click Notes.

  2. Add a new note by clicking the + or select the three dots on an existing note to Edit or Delete.

  3. Check Show note as Pop-up if you want the note to appear during scheduling.

  4. Click Save.

    • When the client is selected in the Appointment Book, the note appears automatically.

  5. You can also toggle over to Appointments to view recent appointment notes


🐾 Pet Notes

Add and manage pet-specific notes so staff can see care details at a glance. Use the Comments area to record grooming instructions, behavior, and medical info.

⚠️ Please Note:

You must use the Cloud website to set up and use this feature as it is not available in the mobile app

  1. From the cloud website, click Clients/Pets.

  2. Select the client from the list.

  3. Click Pet Info.

  4. Do one of the following:

    • Click + Add New Pet to create a new pet record, or

    • Select the pet’s name in the left panel to edit an existing record.

  5. Scroll to Comments.

  6. Enter notes in General, Grooming, Personality, or Medical.

  7. Click Save.


💳 Client Balance

Add an amount the client will pay later during the checkout process.

⚠️ Please Note:

You must use the Cloud website to set up and use this feature as it is not available in the mobile app

  1. Open an existing ticket and click Checkout, or click the Checkout icon and select a ticket.

  2. Confirm details, then click Proceed to Payments.

  3. Select Pay Later.

  4. Enter the amount to add to the client’s balance and click Add Payment, then Close Ticket

  5. The balance is saved on the client profile.

  1. Click Clients, then select a client.

  2. Open the Points & Balance tab.

  3. In Client Balance, click the pencil icon.

  4. Choose Add Credit to increase the balance or Remove Credit to reduce the balance.

  5. Add a comment if needed, then click Save.

  1. Click Clients, then select a client.

  2. Tap the Balance to open the Client Balance page.

  3. In Client Balance, tap Edit Client Balance to manually adjust the clients balance.

  4. Next to Action, choose Add Credit to increase the balance or Remove Credit to reduce the balance.

  5. Set the Amount, Add a comment if needed, then click Save.

🪙 Pay or Redeem Balance at Checkout

  1. Open the appointment and click Checkout.

  2. To pay off a balance, at the top of the screen, locate Balance next to the client’s email.

  3. Click Pay Off, enter the amount, then click Add to Order.

  4. To use available credit, in Client Balance to Redeem.

  5. Enter the amount and click Add to Order.

  6. Confirm the client and ticket details, then click Proceed to Payments.

  7. Select your payment method, then click Close Ticket

⚠️ Please Note:

To pay a balance, you must use the Cloud website but you can redeem available credit on the mobile app.

  1. Open the appointment and click Checkout.

  2. Confirm the client and ticket details, then toggle Redeem Credits

  3. Click Complete Transaction to finish checking out

Why did a pop-up note not appear during scheduling?
