Manage Time Blocks

Set up and manage time blocks to organize your schedule, block off availability, and streamline appointment prep.

📝Overview

Simplify your scheduling by adding time blocks to appointments! This feature allows you to easily block off time before or after appointments directly in the booking process, saving you time and hassle. Customize your time blocks with flexible durations and labels to keep your calendar organized and efficient.

Additionally, if you need to remove multiple time blocks at once, the mass deletion feature enables you to efficiently manage and clean up your schedule.


How to Create Time Blocks

Create standalone time blocks to reserve availability and use them to manage prep, cleanup, breaks, and other non-appointment activities.

  1. Navigate to the Appointment Book

  2. Create a New Time Block:

    • Select +Create > New Time Block, OR

    • Click an open time slot in the Appointment Book, then select the Time Block tab

  3. Enter the details for your Time Block:

    • When? - Choose the date and time range for the block.

    • Which Employee? - Select the staff member the time block applies to.

    • Description - Choose either Prep or Clean Up to label the purpose of the time block.

  4. Check Repeat if you would like to create a time block schedule.

    • Repeat every - Choose how often the time block repeats, weekly or monthly.

    • Repeat on - Choose which days of the week the time block should apply to.

    • Ends on - Choose when the time block schedule should end

  5. When you're satisfied with the time block details, click Schedule.

  1. Navigate to the Appointment Book

  2. Create/Edit an Appointment:

    • Select +Create > New Appointment, OR

    • Click an open time slot, then click Appt Details, OR

    • Select an existing appointment time, then click Appt Details

  3. Input the required appointment information (Client, Service, etc.)

  4. Click the "Block Time Off Around Appointment" box to setup the time blocks

    • Before/After Appointment - By default these are described as prep/clean up, however you can edit these based on your preferences

    • Time - Here you set the duration of how much time you would like before and/or after the appointment. The options are in 15 minute intervals or you can manually enter a custom time up to 60 minutes.

  5. When complete, click "Schedule/Save".

  6. Now the appointment is scheduled, the time blocks will automatically display in the Appointment Book.


🗑️How to Mass Delete Time Blocks

Quickly remove multiple time blocks using filters and bulk selection in the Appointment List.

  1. From the Appointment Book, navigate to the "Appointment List" tab in the top right-hand corner.

  2. Once on the Appointment List screen, click the Calendar Icon to select the date range you wish to search.

  3. After you select the date range, click the "All Appointments" dropdown, and select "Time Block". This will pull up all the time blocks in that range of dates.

  4. If you wish to only see a certain employees time blocks, click the "All Employees" dropdown and you can edit which employees will show.

  5. After selecting the Date Range, Employee, and Time Block, you can delete the listed entries. To delete individual time blocks, check the box next to each entry. To delete all at once, check the box next to the ID column.

  6. Once you've made your selections, click Delete Selected Time Blocks in the top right. The number of selected entries will appear next to the button. To clear selections, uncheck individual boxes or click Clear Selection in the top left.

Can I see who created or edited a time block?

Yes. The Activity Log (More → Activity Log) records when time blocks are created or edited and includes the employee name associated with the change. It will not display the specific edits (for example, which times were changed).

Can I edit a time block after it’s been created?

Yes. Open the time block on the appointment book, update the details (such as the time range or notes), then save. If you don’t see an option to edit, you may not have the required permissions.

Why can’t I schedule an appointment during a time block?

Time blocks are designed to prevent booking during that period. If you need to schedule an appointment there, you’ll need to edit or remove the time block first (or adjust the employee/resource availability settings if applicable).

Do time blocks show in reports?

Time blocks are primarily a scheduling tool and typically do not appear as revenue-producing items in reports. They are meant to manage availability on the appointment book rather than track sales or services.

Can I delete multiple time blocks at once?

Time blocks must be deleted individually, but you can make it faster by using the Appointment Log to filter/sort and group the time blocks you want to remove, then delete them one-by-one from that list.
