Reputation Management (Cloud - New)

Set up Reputation Management to request reviews by email/text, connect your Google Business Profile, customize templates, and view client feedback in one place.

Which Version Do You Have?

DaySmart offers two versions of Reputation Management, and the menu path, setup steps, and settings differ between them. Use the guide below to confirm which version your account has before following the instructions in this article.

💡 How to tell which version you have:

  • On the menu bar, select More. If your dropdown shows Reputation, you have the New Version. This version is currently only available on the cloud website, not the mobile app.

  • On the menu bar, select More. If your dropdown shows Reviews, you have the Legacy Version. This version is available on both the website and the mobile app.


🆕 New Version (Reputation)

⚠️ Please Note: Messages sent through Reputation Management do not count toward your reminder/notification message allotment. They’re included with the add-on or subscription when enabled on your account.

📝 Overview

Reputation Management helps you improve your online presence by automating review requests, offering AI-assisted review drafting, syncing with external review sites (like Google/Facebook), and keeping client feedback organized in one place.


🔑 Authorizations

Before using this feature, ensure:

  • Messaging (email and/or SMS) is enabled for your account.

  • Your business phone number is verified for text delivery.

  • A Google Business Profile is connected if you want reviews posted publicly.

Learn how to set up and customize your reputation tools, including enabling messaging, linking your Google Business Profile, and creating templates.

⚠️ Please Note:

This version of Reputation Management is not currently available on the mobile app, please use a website browser to access this feature.

If you did not already have messaging enabled, the screen below will pop up and you'll need to follow the steps here to activate messaging prior to continuing:

⚠️ Please Note:
You can still send emails, but please be aware that SMS requires verification of your business phone number for proper delivery.

🖥️ Website

  1. From the cloud software, click More then click Settings.

  2. Select E-mail & Texting then click Reminders And Notifications.

  3. Click the Get Started button.

  4. Enter company information. All fields including a valid website must be completed for reminders to send properly.

    1. If a social media link is used for the website URL it must be public facing, if you do not have a website please utilize our free online booking website.

  5. Click Save Company Info when finished.

  6. After saving the information you will be redirected to the Company Contact Information page. Select Reminders and Notifications on the left side bar to review the available reminder types.

  7. Here you can toggle Confirmations on if you would like clients to be able to confirm their appointment via text.

    • The message will include “reply C to confirm” and client replies will mark appointments confirmed in the Appointment Book.

    • These messages contribute to your total character count.

  8. Here you can toggle Cancellations on if you would like clients to cancel via text.

    • The message will include “reply X to cancel.”

    • These messages contribute to your total character count.

    • (Optional) Enable staff notifications so your team is alerted when clients cancel.

  9. Repeat for any other notification types you would like to be sent to clients and employees. Be thoughtful about which notifications you enable as they will count toward your total monthly allotment.

    • If Appointment Changed reminder are on, the client will receive a text each time the a ticket is updated.

    • Appointment Scheduled messages will send immediately, however reminders do not and will be queued up and sent in batches.

    • It's recommended to turn on the notifications for employees when an appointment is cancelled as that will allow them to be notified if a client responds with X to cancel.


📱 Mobile App

  1. From the appointment book click More.

  2. Select Settings.

  3. Select Business Messaging.

  4. Click Turn on Automatic Notifications.

  5. Enter company information. All fields including a valid website must be completed in order to comply with messaging verification requirements. If a social media link is used for the website URL it must be public facing, if you do not have a website please utilize our free online booking website.

  6. Tap the box to agree to the terms and conditions and then click Save.

  7. From the business messaging page select Text/E-mail Settings.

  8. Here you can do the following:

    • Determine which delivery methods you would like to use:

      • Toggle Send E-mail Reminder on or off.

      • Toggle Sent Text Msg Reminders on or off.

    • Accept Confirmations by Text: Toggle on if you would like clients to be able to confirm their appointment via text.

      • Note: The message will include “reply C to confirm,” and client replies will mark appointments confirmed in the Appointment Book.

    • Days in Advance: Reminders can be sent to clients up to seven days in advance.

      • Determine how long prior to appointments you would like the reminder to be sent.

    • New Appointment Scheduled: Notifications can be sent to clients and staff when a new appointment is scheduled.

      • Determine the delivery method and recipients you would to receive a message when a new appointment is scheduled.

    • Appointment Changed: Notifications can be sent to clients and staff when an appointment is modified.

      • Determine the delivery method and recipients you would to receive a message each time an appointment is modified. This will prompt a message to send for minor changes as well, such as adjusting the employee or service duration.

    • Appointment Canceled: Cancellation notifications will be sent to clients and staff based on the options selected here.

      • Determine the delivery method and recipients you would to receive a message if an appointment is cancelled.

  9. To customize the messages that are sent to clients and employees you will need to log into the software via the website and follow the steps outlined in the Editing Appointment Notification Templates instructions.


🏪 Create a Google Business Profile

⚠️ Please Note: Daysmart is not affiliated with Google and is unable to assist with creating, managing, or editing your Google Business account.

  1. Sign in or create a Google account using your business email.

  2. Visit business.google.com and set up or claim your business.

  3. Enter your business category, service area, phone number, and website

  4. Click Finish, then verify your business (now or later).

  5. Ensure a team member manages this Google account to maintain access.

⚠️ Please Note:

  • When adding a Google Account, it must be an account that's linked to a Google Business Account. Click here to learn how to set-up.

  • Condition variables will only appear after an appointment with those variables have been closed out.

  1. Set your Interval.

    • By default review request will be sent 1 month after the clients visit unless set otherwise.

  2. Link external accounts in Advanced Settings.

  3. Use AI Powered Reviews to make it easier for customers to write a review.

  4. Select Save when finished.


📧 Create an Email Template

Once messaging is enabled (or if it was already enabled), the page will default to the Reviews tab.

  1. Select Email Template.

  2. Customize the default template:

    • Enter a Subject (this is the subject clients will see).

    • Add a Logo (this should be your company logo).

    • Edit the Body (this is the email content that includes the review link).

  3. Use the toolbar inside the body field to format content and insert dynamic placeholders.

⚠️ Please Note:

The "Review Link Button" and "Unsubscribe" placeholders are both required. You will not be able to save the email template if either of those options are not included.

⛔ Disclaimer:

You can still send emails, but please be aware that SMS requires verification of your business phone number for proper delivery.

Once you enable messaging, or if you already had messaging enabled, the page will automatically default to the "Reviews" tab.

  1. Click "Text Template" to continue the set-up process.

  2. The text template will contain default information that you can customize for your business.

    • Edit the "Message"

      • This will be the text that will include the link to review.

  3. Within the "message" box, there is a toolbar to allow you to utilize the various tools to edit your text.

    • The "Insert Placeholders" will allow you to add dynamic information.

⚠️ Please Note:

The "Review Link Button" placeholder is required. You will not be able to save the text template if that option is not included.

⚠️ Please Note:

  • If a customer submits a 4 or 5-star review, it will prompt the customer to leave the page and submit the review directly through Google.

  • If a customer submits a 1, 2 or 3-star review, it won't prompt them to submit it to Google.

This is the initial page the customer will see when they click the link in the email:

If a customer leaves a 4 or 5-star review, it will then prompt them to copy the review and add it as a Google review also:

Discover and read your customer reviews with the following steps below.

Do Reputation Management messages count toward my reminder/notification allotment?

No. Messages sent through Reputation Management do not count toward your reminder/notification allotment and are included when the add-on is enabled.

Why can’t I save my email template?

Your email template must include both the Review Link Button and Unsubscribe placeholders. If either is missing, the template cannot be saved.

Why can’t I save my text template?

Your text template must include the Review Link Button placeholder. If it’s missing, the template cannot be saved.

Why don’t I see certain condition variables in settings?

Condition variables only appear after an appointment using those variables has been closed out.

Will negative reviews be posted to Google automatically?

No. The system does not publish reviews automatically. Clients are directed to linked review sites only after submitting an internal rating of 4–5 stars. Internal ratings of 1–3 stars do not receive a public posting prompt.

Can I link a Facebook account?

    • The Primary Email will receive all email replies from clients.

🔗 Integration Options

Follow the steps to link your Facebook Business Profile so clients can leave reviews directly on your Facebook page.

⚠️ Important Note:

While clients who leave a 4–5 star review will be prompted to share their review on Google, Facebook, or Yelp, posting is entirely at the client’s discretion. The software cannot publish reviews to those platforms on behalf of the client.

If a review does not appear on your business listing, it typically means the client chose not to complete the posting step, and the review will remain internal.

  1. Within the Daysmart Software navigate to More → Reviews → Integration and click the Link to Facebook button.

  2. Log in with your Facebook profile.

    1. The logged in account must have privileges to manage the Facebook Business Profile and meet any Meta verification requirements.

Google

  1. Sign in to your Google Account or create one using your business email.

  2. Go to business.google.com → Create or claim your business.

  3. Select your business category and service area (recommend within ~2 hours drive).

  4. Enter phone number and website URL → Click Finish.

  5. Click Verify now or choose Verify later.

    1. Ensure the Google account is managed by someone on your team.

  6. Within the Daysmart Software navigate to More → Reviews → Integration and click the Link your Google business profile button.

  7. Enter your business address and select Confirm once you've located your Google business listing on the map.

Yelp

1. In google type your (business name) yelp reviews.

2. Copy the yelp reviews link and paste it in this field.


⚙️ Review Settings (Advanced)

Customize your review request options, including message templates, timing, frequency, and linked business details.

  • Promote Social Media Reviews: Choose whether to include links to all or specific social platforms.

📝Review Form

This page allows you to embed review tools directly into your business website and test the review process. You can generate plugin code to display reviews, create a review submission form, or send a test review email to verify setup.

    • Generate a plugin code to embed submitted client reviews directly onto your website. Use the provided link and click Generate Plugin Code to copy and paste the code where you’d like reviews to appear.

  • Embed Review Form

    • Create a plugin code for an empty review form that clients can fill out on your website. Click Generate Plugin Code to embed this form on your site.

  • Test Review

    • Enter an email address and click Send Email to test how review requests are delivered to clients. This ensures your review links and templates are working properly before sending them to real clients.

When clients click the email/text link:

  • If they submit a 4- or 5-star review, they’re then prompted to post the review to Google or Facebook.

  • A 1-3 star review stays internal, the client is not prompted to post the article externally.

What happens if a client leaves a low-star review (1-3 stars)?

These reviews stay internal for your team’s reference and are not shared publicly. This allows you to follow up privately to resolve concerns.

Can I stop review requests from sending automatically?

Yes. Go to Reputation → Settings → Interval, then disable automated review requests or set a longer interval between sends.

Do I need a Google Business Profile to collect reviews?

Not for internal feedback, but connecting your Google Business Profile enables clients who leave 4–5 star reviews to post them publicly on Google.

Why can’t I save my email or text template?

Each template must include the Review Link Button (and Unsubscribe for email). Without these placeholders, the system will block saving to maintain compliance.

Can I edit a review after it’s submitted?

No. Once submitted, reviews are saved as-is to preserve authenticity. You can respond to reviews but not alter the original content.

How can I resend a review request to a client?

Go to Reputation → Reviews Tab, locate the client, and select Resend Request. The message will be sent using your existing email/text templates.

Will disabling messaging affect reputation features?

Yes. Reputation Management relies on the messaging module (email or SMS). If messaging is disabled, review requests cannot be delivered.
