Manage Vaccinations

📝 Overview

DaySmart Pet allows you to manage vaccination requirements, maintain accurate pet medical records, and ensure pets meet service eligibility guidelines. From setting up required vaccines to recording and updating pet vaccination details, this guide walks through how to manage vaccinations across both Web and Mobile.


✏️ Master Vaccinations

Use the Master Vaccination list to create, edit, require, archive, or reactivate vaccinations used by your business.

⚠️ Please Note:
You must use the Cloud website to set up and configure the Master Vaccination List. This feature is not available in the mobile app

  1. Navigate to More, then Vaccinations.

  2. Click the + button to add a new vaccination, or select an existing vaccination to edit.

  3. Enter or update the vaccination name.

  4. Select the applicable species.

    • Once a vaccination is created and assigned to a species, the species selection cannot be edited. If the wrong species was selected, you’ll need to delete (or archive) the vaccination and recreate it with the correct species.

  5. Optionally, check This Vaccination is Required.

  6. If vaccine required, select the services that require the vaccination.

    • You can select a service category if you’d like all services within that category to require the vaccination, or you can choose specific individual services instead.

  7. Click Save.

To archive a vaccination:

  • Select the vaccination.

  • Choose Archive (available if linked to pet records).

To reactivate:

  • Switch to the Archived view.

  • Click Activate next to the vaccination.


💉 Record Vaccinations

Enter vaccine details and expiration dates from the pet’s profile, and attach documents as proof if needed.

  1. Click Clients/Pets at the top of the page.

  2. Create a New Client by selecting the plus button on the bottom right corner, or select an existing client.

  3. Select the Pet Info tab.

  4. Under the Medical Information section, check each Vaccine the pet has received.

  5. Set the Expiration date.

  6. (Optional) Click + Add Document to attach proof, then choose the file.

  7. Repeat for any additional vaccines.

  8. Click Save.


📱 Mobile App

  1. Tap More in the bottom right of your screen

  2. Tap Pets.

  3. Select the pet, then tap Edit.

  4. Open the Medical tab and tap Add a Vaccination.

  5. Select the Vaccine

  6. Set the Expires date.

  7. (Optional) Tap + Add a Document to attach proof.

  8. Repeat as needed, then tap Save.


🗓️ Update Vaccinations from the Appointment Book

If a required vaccination is missing or expired, an alert will appear on the appointment.

  1. Open the appointment displaying the vaccination alert.

  2. Click Update next to the alert notification.

  3. Select the vaccinations the pet has received.

  4. Enter updated expiration dates.

  5. Attach documentation if needed using + Add Document.

  6. Click Update Vaccinations, then Save.

Can I delete a vaccination that’s already assigned to pets?

No. If a vaccination is linked to pet records, it cannot be deleted. It can only be archived to preserve historical data.

Can I require a vaccination for only certain services?

Yes. You can assign required vaccinations by both species and specific services.

What happens if a pet doesn’t have a required vaccination?

The system will display an alert during booking and on the appointment, allowing you to update the record before completing the service.

Can I upload proof of vaccination documents?

Yes. Documentation can be attached when recording or updating vaccinations on the pet profile or from the appointment book.

Can I reactivate an archived vaccination?

Yes. Switch to the Archived view in the Master Vaccinations list and select Activate.

When will I be notified that vaccinations are expiring?

The software will notify you that a vaccination is expiring 3 months before it expires. You would see this on the appointment along with any pop-up notifications when scheduling an appointment and the vaccine is require, as well as on the Pet profile when you view their vaccinations

How do I stop vaccine alerts for a medically exempt or senior pet?

If a specific pet is medically exempt from a vaccine (for example, a senior pet or a pet with a veterinary exemption), the workaround is to not record that vaccination on the pet's profile at all.

Vaccine alerts and expiration notifications only appear when a vaccination record has been added to the pet. If no record exists for that vaccine on the pet's profile, no alert will be triggered, even if the vaccine is marked as required for the services booked.

This allows you to keep the vaccine requirement active for all other pets while exempting individual pets as needed. You should not record the vaccine as up to date if the pet has not actually received it, and you do not need to remove the vaccine requirement for everyone.

⚠️ Please Note: If a vaccination record already exists for the pet and you want to stop future alerts, you'll need to adjust the expiration date of that vaccination record in the pet's profile to a date far in the future.
