This guide walks you through scheduling your first appointment in the software: scheduling, modifying duration, and setting recurring appointments.
π Create a New Appointment
These instructions will help you successfully create a ticket for a new appointment on the cloud website and from the mobile app.

Create a New Appointment
Select + to create a new appointment ticket or click any available time slot in the column of the employee who will perform the service.
Enter the Appointment Details:
When? - Select the appointment's date and time. This will auto-fill if you selected an open time slot from the Appointment Book.
βWhich Employee? - Clicking into the service will allow you to choose the employee who will perform the service. This will auto-fill to the logged in user or specific employee if you selected an open time slot from the Appointment Book.
βWhich Pet? - Select an existing client from the list or enter a new one for this appointment.
βWhat Services? - Search a service manually or choose one from the list. Repeat this step for any additional services you'd like to schedule for the client.
βAppointment Type? - Select the type of appointment this, will be from a prefilled list or custom additions.
βSelect Appt Details to see more editing options.
If you are adding multiple pets to a ticket:
βSelect "Schedule" or "Book Appointment" to save your ticket.

From the Appointment book, tap at the desired start time of the appointment under the column of the employee who will be performing the service of the appointment or tap the + in the lower right corner.
βClick on Select Existing Client to bring up the Client list. By default the app will not show all clients, so you will most likely want to click in the search bar and type the client's name to search for the specific client. Click on the client when you have located them to add them to the ticket.
βTo add a service, select Add a Service. Just like with the client look up screen, not all service will appear at once. Instead you may need to use the magnifying glass.
βTo add a product, select Add a Product.
If youβre only adding a product (and not a service), it wonβt be scheduled as an appointment. The product will simply need to be checked out at the time of purchase.

Set the Referred By field as desired.
βSelect Book Appointment to finish scheduling the ticket.

Open the Appointment Book.
βClick +Create in the upper left
Select the employee/resource the time block should apply to.
βEnter the date, start time, recurring options and end time.
βChoose the appropriate time block type (if prompted) and add any notes or labels (optional).
βClick Save to add the time block to the appointment book.

Time blocks must be deleted one at a time, but you can speed this up by using the Appointment Log to group them together.
From the Appointment Book, select Appointment List in the upper right.
βFilter or sort the log so the time blocks you want to remove are grouped together (for example by date, employee, or type). To see all existing time blocks set the date filter to All Time.
βCheck the box to the left of each time block you'd like to delete or select the checkbox in the upper left to check all shown time blocks.
βClick 'Delete Selected Time Blocks'.

π Create Recurring Appointments
To save time, the DaySmart Salon program allows you to create recurring appointments from both the mobile apps and the website. This article will walk you through the process of creating recurring appointments for your customers.

Create a New Appointment:
Select +Create > New Appointment, OR
Click on the desired time slot on the appointment book for the initial appointment.
Select the client and add the services for the appointment.
βNext, click "Appt Details" to proceed.
βCheck the "Recurring" box under Appointment Details.
βSelect how often the appointment repeats (weekly or monthly)
If you choose weekly, specify the day(s) of the week for the recurring appointment.

Set an end date to determine when the recurring series should stop.
βClick "Schedule" in the top right to save the recurring appointment.

Double-click on the desired time slot on the appointment book for the initial appointment.
βSelect either Existing Client or Add New Client. Then search for the client or enter the new client's information.
βSelect Add Services and enter the service for the appointment.
βClick on the customer's name to view the Recurring option.
βToggle on the slider for Recurring.
βSelect the Start Date for the appointments to begin occurring.
βSelect the End Date for the appointments to stop occurring.
βTab on How Frequently? and select how often the appointment should occur.
βSelect which day(s) of the week the appointments should take place.
βSelect Done.
βSelect Book Appointment.

From the Appointment Book, select an open appointment.
βThe appointment pop-up will appear, click Appt Details.
βOn this page you can make the following edits as necessary:
Date: Select or change the appointment date.
Time: Set the appointment start time.
Duration: Adjust how long the service will last.
Employee: Assign or change the staff member performing the service.
Quantity: Choose how many of the service items are booked.
Price: Edit or confirm the service cost.
Appointment Type: Specify the category or purpose of the appointment.
Confirmation Type: Choose how the appointment will be confirmed with the client.
Select Save in the upper right once you have made the desired changes.

Tap into an open appointment.
Tap the pencil icon to edit the appointment details.
βOn this page you can make the following edits as necessary:
Appt Details: Under this tab you can edit the client, date, time, and recurring schedule if applicable.
βServices and Products: Under this tab you can add services and products, service duration, quantity, price and discounts.
βDeposits: Toggle whether a deposit is required for this appointment and set the amount.
βNotes: Adjust confirmations, referrals, view the appointment log and appointment notes.

π¨ Appointment Color Codes
Use color coding to visually organize your Appointment Book. You can customize colors for services, service categories, or appointment types, helping staff quickly identify appointment details at a glance.

The ability to edit color codes is not currently available in the mobile app, this would need to be done on the web browser through the cloud website.

Navigate to the Appointment Book.

Can I schedule an appointment for a new client?

Yes. In the Which Client? field, type the new clientβs name and click + Add Client to create their record before scheduling.
Does changing the appointment duration affect pricing?

No. Updating the duration only changes the appointmentβs time slot, service pricing remains the same unless you manually edit the service or apply a discount.
Can I cancel or modify a recurring series?

Recurring appointments can only be edited or canceled individually. If you need to make changes to multiple appointments in a series, use the Appointment List View and sort by Customer and Date. This makes it easy to locate and void multiple appointments at once.
Can each employee have their own Appointment Book colors?

No. Color coding is configured at the business level, so all staff see the same color scheme for consistency.

Make sure you clicked Save after editing your colors. If the Appointment Book was already open, refresh the page or navigate away and return. Also confirm that color coding is enabled for the correct list (Services vs. Appointment Types).
